"All-in-one workspace" is one of the most stretched phrases in software. Some products mean docs plus tasks. Some mean tasks plus chat. A few mean an entire business suite with mail, accounting and HR. For a small team, the useful question is narrower: which product removes the most tools you pay for today, at a price that still makes sense at five people and at fifteen?

This guide compares seven products on exactly that. We priced each one for a 5-person and a 15-person team, listed what is included, and, just as important, what is not. We make one of them, Atrix AI, so we have tried to be specific about where the others are the better choice.

What "all-in-one" should mean for a small team

For a team of 3 to 20, these are the seams that cost the most time:

  • Work: tasks, boards, owners and due dates.
  • Docs: specs, plans and meeting notes linked to that work.
  • Chat: decisions made next to the work, not in a separate app.
  • Calendar and scheduling: meetings and booking links.
  • Customers: a simple CRM, so a deal is not a spreadsheet row.
  • Hiring: roles, applications and interview notes.
  • AI and integrations: an assistant that can see all of it, and an API or MCP server for the rest of your stack.

Few products cover every line. The comparison below shows which cover which.

How we priced it

  • As of 27 October 2026, from each vendor's public pricing page. Prices change often, and several vendors run promotional rates, so check before you buy.
  • Prices are in US dollars per month. Where a vendor offers annual billing, we quote the annual rate, because that is what most teams end up paying, and note it.
  • We picked the plan a typical small team would actually need, not the cheapest one with crippling limits.
  • Taxes, add-ons and regional discounts are excluded unless stated.

Zoho One (flexible user)$450$1,35050+ apps: CRM, mail, desk, projects, books, recruit and moreMany separate apps to set up; cheaper all-employee pricing must cover everyone on payroll
Nifty (flat, annual)$79 (Pro, up to 10)$124 (Business, up to 30)Tasks, milestones, docs, chat, time tracking, portfoliosNo CRM or hiring; free plan limited to 2 active projects
Atrix AI$39 (Builder)$149 (Studio)Work and boards, docs and pages, chat, calendar with booking links, CRM, hiring, AI agent, MCP, REST APINo free plan, no large template marketplace, no Android app

Notes on the numbers: Notion lists Business at $20 a member and Plus at $10. ClickUp shows Core at $9 a user billed yearly against a regular $12. monday.com lists Standard at $12 a seat billed annually, with a 3-seat minimum. Basecamp's plans are flat with user caps: Freelancer to 5 users, Pro to 10, Pro Plus to 15. Zoho One's flexible-user rate is $90 a user. Nifty also sells per-member plans. Atrix's yearly plans are 20% off: $374 a year for Builder and $1,430 for Studio.

Notion

Notion is the strongest document tool in this list. Pages, wikis and databases are flexible enough to build almost any workflow, and on the Business plan the Notion Agent, AI meeting notes and enterprise search are included. Its template gallery is huge, and it has a free plan for trying it out.

What to know: Notion is a builder's kit. Projects, a CRM or a hiring tracker are databases you design yourself, and there is no built-in team chat. Full AI is only on Business and above, which doubles the per-member price over Plus.

Pick it if your work is mostly writing and you enjoy shaping your own system. See how it compares in Atrix vs Notion, or our list of Notion alternatives.

ClickUp

ClickUp is the most feature-dense product here. Tasks, docs, whiteboards, chat and time tracking all live in one app, and the Free Forever plan is generous enough for a small team to start. Its Core plan is one of the cheapest paid options at five people.

What to know: the density is also the cost. New users often find ClickUp heavy, and AI use beyond the included credits is charged separately. ClickUp has also changed its plan names and prices several times in 2026, so compare carefully. We cover the differences in Atrix vs ClickUp.

Pick it if you want the most features per dollar and have someone willing to configure it.

monday.com work management

monday.com is polished, visual and easy for non-technical teams. Boards, automations and timeline and Gantt views are its strengths, and it has native iOS and Android apps.

What to know: CRM, dev and service are separate monday.com products with their own prices, so "all-in-one" really means "all-in-one for project boards". Seats are sold in fixed sizes starting at three, so you can pay for seats you do not use.

Pick it if your team is operations-heavy, likes visual boards, and keeps customers in a separate CRM.

Basecamp

Basecamp is the calmest option here. Message boards, to-dos, card tables, chat, docs and scheduling sit inside each project, with automatic check-ins replacing status meetings. Its pricing is flat, not per user, which is rare and good for growing teams.

What to know: Basecamp is opinionated. There is no CRM, no booking links and little customization, and the lower plans cap active projects: three on Freelancer, eight on Pro, twelve on Pro Plus. The full product without caps, Pro Unlimited, is $199 a month on annual billing. Read more in Atrix vs Basecamp.

Pick it if you want fewer meetings and clear communication more than you want flexibility.

Zoho One

Zoho One is the widest suite on the list: more than 50 apps covering CRM, mail, help desk, projects, accounting and recruiting. If you want one vendor for the whole company, including the back office, nothing else here comes close.

What to know: it is many apps, not one workspace. Each has its own setup and interface, and connecting them takes time. The flexible-user rate is the most expensive per head here; the all-employee option is cheaper but must license everyone on payroll.

Pick it if you want mail, finance and CRM from one vendor and have time to set it up. Zoho Workplace is the lighter option if you mainly need mail and office apps.

Nifty

Nifty is a strong, underrated project hub. Tasks, milestones, docs, chat and portfolios are on every plan, including the free one, and its flat-rate pricing is predictable.

What to know: it stops at projects. There is no CRM or hiring, and the free plan allows two active projects.

Pick it if you mainly need projects, docs and chat in one place, at a fixed price.

Atrix AI

Atrix AI is built for teams of roughly 2 to 15 who want their whole week in one workspace: work and boards, docs and pages, team chat, a calendar with booking links, a CRM with a separate permission for deal values, and hiring with job posts and applications. An AI agent works across all of it, and the same workspace is reachable from Claude, ChatGPT and other assistants over MCP, or from your own code over the REST API.

Pricing is flat per workspace rather than per seat: Builder is $39 a month for 5 seats, Studio is $149 a month for 15 seats, and paying yearly takes 20% off. Details are on the pricing page.

What to know, honestly:

  • There is no free plan. Every workspace starts with a 7-day Builder trial, and a card is required.
  • No large template marketplace. You start from a working setup, not a gallery of thousands of templates.
  • iPhone only on mobile. There is no Android app yet.
  • It is a younger product than everything else on this list, with fewer third-party integrations.

Pick it if you are paying for separate task, docs, chat, scheduling and CRM tools today and want them in one place at one flat price.

Who should pick what

  • Writing-heavy team that likes to build its own system: Notion.
  • Want the most features for the least money, and someone to configure it: ClickUp.
  • Visual boards for an operations team, customers in another tool: monday.com.
  • Fewer meetings, calm project communication, flat price: Basecamp.
  • One vendor for the whole company, back office included: Zoho One.
  • Projects, docs and chat at a fixed price: Nifty.
  • Work, docs, chat, calendar, CRM and hiring in one workspace, with AI and MCP across it: Atrix AI.
  • Need a free plan or an Android app: anything here except Atrix AI.

FAQ

What is the best all-in-one workspace app for a small team?

It depends on which tools you want to replace. For documents, Notion. For the most features per dollar, ClickUp. For calm project communication, Basecamp. For work, docs, chat, calendar, CRM and hiring in one place at a flat price, Atrix AI.

Is there a free all-in-one workspace?

Yes. Notion, ClickUp and Nifty have free plans, monday.com has one for up to two seats, and Basecamp has a free single-project plan. Atrix AI does not; it starts with a 7-day trial.

Is per-seat or flat pricing better for a small team?

Flat pricing is easier to predict as you hire. Basecamp, Nifty's flat plans and Atrix AI charge per workspace. Per-seat pricing is cheaper when you have very few people, but the bill grows with every hire.

Can one workspace replace Slack, Notion and a CRM?

For many small teams, yes, if the workspace includes chat, docs and a CRM that people actually use. Keep tools that face customers, such as a support portal, and specialist tools such as accounting and your code host.

How do I move to an all-in-one workspace without losing data?

Move one area at a time, starting with work and docs. Bring live projects and active customers, export and archive the rest, and switch off writes in the old tool once the move is done.
