The best HubSpot alternatives for a team of 2 to 15 are Pipedrive if all you need is a sales pipeline, Zoho Bigin if you want the lowest price with a free plan, Twenty if you prefer open source you host yourself, and Atrix AI if you want the CRM bundled with projects, docs and booking links at a flat price. HubSpot remains the right call when you will run marketing automation at scale.

We have sold services and software with a small team for years. We have been through HubSpot, Pipedrive and spreadsheets, and today we run our customers inside Atrix. This post is what we wish we had read before each switch, with prices checked on each vendor's page in October 2026.

Why small teams leave HubSpot

HubSpot is not a bad product. The problem is that it is built to grow with you to hundreds of users, and that shows from day one:

  • The promotional price is not the price. In October 2026 the pricing page shows Starter "starts at $7 per seat per month", with a banner offering "save up to 65%" for new customers for a limited time. The list price shown next to it is $20 per seat per month. When the promotion ends, a team of five goes from $35 to $100 a month.
  • The jump to Professional is steep. Sales Hub Professional starts at $90 per seat (list $100) and requires a one-time $1,500 onboarding fee. For five people that is $450 a month plus onboarding.
  • Every hub is paid separately. Sales, marketing, service, content and operations are separate products. The free CRM is the front door; almost everything useful sits in a paid hub.
  • It is a lot of product for a small team. Sequences, lead scoring, multi-touch attribution and workflows are valuable with 50 reps. With three, they are menus nobody opens.

If two of those four sound familiar, alternatives are worth a look.

Pipedrive: the pure sales CRM

Pipedrive is the classic HubSpot alternative for sales teams. Everything revolves around the pipeline: you drag deals between stages, log calls and emails, and see what is stuck. It is fast, has a solid mobile app and its reporting is enough for a team of up to ten reps.

What you should know:

  • Per-seat pricing. Pipedrive charges per user and gates automation and advanced reporting behind higher plans. We could not load its pricing page with our tools while writing this, so we quote no figures; check pipedrive.com before you calculate.
  • It is sales only. No project management, no docs. If you deliver services after closing, you need another tool and an integration.
  • Marketing features and add-ons are paid separately, as with HubSpot.

Pipedrive fits when the team lives in the pipeline and the rest of the work happens elsewhere.

Zoho Bigin: the cheapest option with a free plan

Bigin is Zoho's lightweight CRM for very small teams. In October 2026 its free plan allows 1 user, 500 records, one pipeline, 3 automations and a booking page. Express costs $7 per user per month billed yearly ($9 monthly), Premier $12 ($15) and Bigin 360 $18 ($21). Local taxes are added.

In its favour: price, simplicity, web forms and bookings included. Against: reporting is basic, and when you ask for more you end up in Zoho CRM, a different product with a different learning curve. For a team of two or three starting out, Bigin is hard to beat on cost.

Twenty: open-source CRM you can host

Twenty is an open-source CRM with a modern interface, custom objects and an API. You can self-host the core at no cost or pay for the cloud: Pro at $9 per user per month billed yearly and Organization at $19, per its pricing page in October 2026.

It fits technical teams who want to own their data and shape the model. It does not fit if nobody on the team wants to maintain a server, upgrade versions and run backups. "Free" covers the software, not the hours.

Atrix AI is the workspace we use ourselves. The CRM has companies, contacts and a five-stage pipeline; deal values are permission-gated, so not everyone on the team sees the numbers. What sets it apart from the three above is not the CRM itself but what comes with it for the same price:

  • Projects with boards, backlog, timeline and sprint-style cycles.
  • Pages and docs with live co-editing and databases.
  • Calendar with public booking links synced to Google and Outlook: when a prospect books, the contact lands in the CRM.
  • Team chat, hiring, HR, goals and time tracking.
  • An AI agent that turns a brief into requirements and tasks, and an MCP server with 85 tools for using it from Claude or ChatGPT.

Limits, stated plainly: there is no free plan (7-day trial with card); Builder costs $39 a month for 5 seats and Studio $149 for 15; the pipeline has five fixed stages; there is no marketing automation or email sequencing. If your operation is a pure sales funnel with dozens of reps, HubSpot or Pipedrive will serve you better. If you are an agency, studio or startup where the same people sell, deliver and invoice, having the CRM inside the same workspace as projects removes two tools and one integration.

What you would pay at 3, 5 and 10 people

Monthly cost with yearly billing, October 2026. HubSpot at list price; the promotion lowers it temporarily.

PeopleHubSpot Starter (list)Zoho Bigin ExpressTwenty Pro (cloud)Atrix AI
3$60$21$27$39 (Builder)
5$100$35$45$39 (Builder)
10$200$70$90$149 (Studio)

Atrix costs more than Bigin and Twenty at ten people; the flat price pays off when you count what it replaces. If you only need a CRM, Bigin wins on cost. Founding teams that subscribe to Atrix before 31 December 2026 keep unlimited seats, which turns the 10-person column into $39.

How to choose in four steps

  1. Write down what your team does after closing a deal. If the answer is "we deliver a project", look for a tool where the deal becomes a project. If it is "we hand it to another department", a pure CRM is enough.
  2. Count real seats twelve months out, not today's. Include whoever only needs to see the pipeline.
  3. Calculate at list price, not promotional price. HubSpot promotions end; Atrix's founding-team offer has a date too.
  4. Export your data before migrating. HubSpot exports contacts and deals as CSV; any serious alternative imports them. Test with 50 records before moving everything.

FAQ

What is the best free alternative to HubSpot?

Zoho Bigin has a real free plan for 1 user with 500 records. Twenty is free if you host it yourself. HubSpot's own free CRM is still good for two people; the problem arrives when you move to Starter. Atrix has no free plan.

Is Pipedrive cheaper than HubSpot?

It depends on the plan and the current promotion. Pipedrive charges per seat without such aggressive launch promotions; HubSpot Starter is from $7 on promotion and $20 list. Check both in October 2026 with your user count: the comparison flips when the promotion ends.

Can I migrate my contacts from HubSpot to another tool?

Yes. HubSpot exports contacts, companies and deals as CSV. Bigin, Pipedrive and Twenty have importers; Atrix imports companies and contacts from CSV. Email histories and notes usually need manual work.

Which HubSpot alternative includes project management?

Atrix AI includes CRM, projects, docs, chat and calendar at a flat price. Zoho has Projects as a separate product. Pipedrive and Twenty do not manage projects.

How many users does HubSpot's free CRM allow?

Two. From the third you need Starter, which in October 2026 has a list price of $20 per seat per month.
