monday.com charges a minimum of 3 seats on every paid plan, and its free plan stops at 2 people and 3 boards. If you are one or two people, or a small team that does not want to pay for empty seats, the alternatives that work best are Trello for simple boards, ClickUp if you want many features, Notion if work revolves around documents, and Atrix AI if you prefer a flat price with projects, docs, CRM and calendar included.

We run our client and product projects with a team of under fifteen and have tried all four. Prices in this post were checked on each vendor's page in October 2026; swap in your country's figures before calculating.

The 3-user minimum and seat bundles

On its pricing page, monday.com answers the question of how many users you need with "plans start from 3 users". That means two partners who want Basic pay for three seats: $27 a month billed yearly, not $18. Seats are also sold in tiers, so a team of six can end up paying for more than six. The Work Management price calculator defaults to 10 seats, which hints at the size the product is aimed at.

What monday.com Work Management costs in October 2026, per seat per month billed yearly:

PlanPrice per seatWhat it includes
Free$02 seats, 3 boards, 3 docs, 8 column types
Basic$9Minimum 3 seats, $27 a month
Standard$12Minimum 3 seats, $36 a month; timeline and automations
Pro$19Minimum 3 seats, $57 a month; time tracking, charts
EnterpriseCustomContact sales

Monthly billing carries no discount, so the page presents it as the expensive option. And monday CRM is a separate product with its own prices (Basic $12, Standard $17 and Pro $28 per seat billed yearly). If you need tasks and customers, you pay twice.

Who the minimum hurts

  • Freelancers and founder pairs. Paying three seats for two people is a permanent 50% surcharge.
  • Teams of 4, 7 or 11. Seat tiers mean the number you pay for is not the number you use. Check monday's calculator for the tier you land in before signing.
  • Teams that also need a CRM or serious docs. monday's docs are basic and the CRM is another product.

If none of the three applies to you, monday.com is a solid tool. If one does, keep reading.

Trello: simple boards with no minimum

Trello remains the fastest way to put a kanban board in front of a team. In October 2026 the free plan allows up to 10 collaborators per workspace, 10 boards and 250 automation runs a month. Standard costs $5 per user per month billed yearly ($6 monthly) and Premium $10 ($12.50), with timeline, calendar and dashboard views. There is no seat minimum.

Where it falls short: no real docs, time tracking depends on third-party Power-Ups, and when the team moves from one board to ten interlinked projects, Premium's views help but do not replace a backlog with cycles. For one or two people with visual work, Trello is the cheap answer.

ClickUp: every feature, including the ones you will not use

ClickUp is the opposite extreme. Its free plan does not cap users or tasks, but it does cap storage (60 MB), spaces (5) and automations (100 actions a month). In October 2026 the page shows Unlimited at $7 per user per month billed yearly ($10 monthly) and Business at $12 ($19 monthly); the same page elsewhere shows a newer lineup with Core at $9 and Business at $17, so check which you see when it loads. AI is extra: Brain at $9 per user.

ClickUp has no seat minimum and covers docs, chat and whiteboards. Its real cost is setup time: the hierarchy of spaces, folders and lists, custom fields and views for each. For teams that enjoy configuring, it is unbeatable on price. For those who want to open it and work, it is exhausting.

Notion: when the work is documents

Notion is the best editor of the four and a flexible database you can turn into a board, table or calendar. Plus costs $10 per member per month and Business $20 in October 2026; the free plan works well for one person and limits pages and blocks once there are two or more members. There is no seat minimum. Notion Agent arrives with Business, and custom agents are paid with credits at $10 per 1,000.

As a project manager, Notion requires you to build the structure yourself: there are no native sprints, backlog or burndown, though you can imitate them with databases. It suits product and content teams who write more than they execute tasks.

Atrix AI: flat price with projects, docs and CRM

Atrix AI charges per workspace, not per person: Builder costs $39 a month with 5 seats and 100 AI runs; Studio $149 with 15 seats and 500 runs. There is no user minimum because there is no per-user price. Inside are projects with five views, backlog, timeline and cycles of one to four weeks with a goal, burndown and rollover of unfinished tasks, coloured labels and milestones; pages with live co-editing; chat; calendar with booking links; a five-stage CRM; hiring; HR; goals and time tracking. The AI agent turns a brief into requirements and planned tasks, and an 85-tool MCP server connects it to Claude, ChatGPT or Cursor.

Limits, stated clearly: there is no free plan and the 7-day trial asks for a card; there are no story points or velocity; at 6 to 12 people the jump from Builder to Studio is expensive compared with per-seat pricing; and Android is in testing. Founding teams that subscribe before 31 December 2026 keep unlimited seats.

What you would pay at 2, 5 and 10 people

Monthly with yearly billing, October 2026. monday.com on Basic with the minimum applied.

Peoplemonday.com BasicTrello StandardClickUp UnlimitedNotion PlusAtrix AI
2$27 (minimum 3)$10$14$20$39 (Builder)
5$45$25$35$50$39 (Builder)
10$90$50$70$100$149 (Studio)

At two people, Trello or ClickUp's free plan wins and Atrix is the expensive option. At five, Atrix sits below monday and Notion and includes CRM and docs. At ten, Atrix Studio is the most expensive in the table unless you are a founding team. There is no single answer; there is a size.

How to migrate from monday.com in five steps

  1. Export each board to Excel from the board menu. monday exports columns, groups and items; updates (comments) are lost in most exports.
  2. Clean up the columns in the sheet: status, owner, date and priority are the ones any tool imports well.
  3. Import project by project, not everything at once. Trello imports CSV on Premium; ClickUp and Notion have CSV importers; Atrix imports pages from Markdown, Word and Excel.
  4. Rebuild automations by hand. No tool imports another's. Write down the five you actually use and recreate them.
  5. Keep monday read-only for a month before cancelling, in case something is missing.
