Flat-price project management software: when per-seat pricing costs more
Per-seat vs flat pricing for project management, with a break-even table for teams of 3, 5, 10 and 15 and October 2026 prices for eight tools.
On this page
Most project management tools charge per seat: a fixed amount for every person who signs in, every month. A few charge one flat price for the whole team, or bundle a fixed number of seats into a plan. Neither model is cheaper in general. Which one costs less depends on how many people you have, how quickly that number changes, and what you would otherwise buy on top.
This post works through the maths with real prices, checked on each vendor's pricing page in October 2026, and is honest about where per-seat pricing wins.
How the two models work
Per seat. The price is quoted per user per month, usually with a lower rate for yearly billing. Ten people cost ten times what one person costs. Some vendors sell seats in bundles, so a team of six may pay for more than six.
Flat or bundled. The price is quoted per workspace. Some plans include unlimited users; others include a fixed number of seats, and you move up a plan when you outgrow it. Adding the fourth person costs nothing until you cross the plan's limit.
The difference that matters is the cost of one more person. Under per-seat pricing it is always the seat price. Under flat pricing it is zero until the step to the next plan, and then it can be large.

The break-even table
This is what a team pays per month at each size. Per-seat tools are shown at their yearly-billed rate. Basecamp is shown on the smallest plan that fits the team. Atrix is shown at its monthly price, with the yearly price as a monthly figure in brackets.
| Team size | ClickUp Core | Asana Starter | monday.com Basic | Notion Plus | Linear Basic | Basecamp | ProofHub Essential | Atrix |
|---|---|---|---|---|---|---|---|---|
| 3 | $27 | $32.97 | $27 | $30 | $30 | $29 | $45 | $39 ($31), Builder |
| 5 | $45 | $54.95 | $45 | $50 | $50 | $29 | $45 | $39 ($31), Builder |
| 10 | $90 | $109.90 | $90 | $100 | $100 | $79 | $45 | $149 ($119), Studio |
| 15 | $135 | $164.85 | $135 | $150 | $150 | $99 | $45 | $149 ($119), Studio |
What the table says:
- At 3 people, the per-seat tools and the flat plans are within a few dollars of each other.
- At 5 people, the flat plans are at or below the per-seat tools. Atrix Builder at $39 covers the same five people that cost $45 to $55 on a per-seat plan, and Basecamp Freelancer is cheaper again.
- At 10 people, Atrix is the most expensive option in the table. Ten people do not fit in Builder, and Studio is priced for fifteen. Basecamp Pro and ProofHub are cheaper.
- At 15 people, Studio on yearly billing ($119 a month) is cheaper than every per-seat tool in the table; on monthly billing it sits among them. Basecamp Pro Plus and ProofHub Essential, with its 40-project limit, are cheaper still.
The break-even point for a flat plan is its price divided by the seat price you would otherwise pay. Atrix Builder at $39 breaks even with a $10 seat at 3.9 people, so from four people up it costs less. Studio at $149 breaks even with a $10 seat at 14.9 people. The awkward range for any stepped plan is just past a step. For Atrix, that is 6 to 12 people.
There is one exception for Atrix this year. Founding teams that subscribe to any plan before 31 December 2026 keep unlimited seats for as long as the workspace stays subscribed. A ten-person team that starts on Builder in that window pays $39 a month, not $149.
When per-seat pricing is the better deal
Per-seat pricing is cheaper for one or two people, and it is not close. Asana's Personal plan is free for up to 2 users. monday.com's free plan covers 2 seats. ClickUp, Notion and Linear all have free plans. Atrix has no free plan: every workspace starts with a 7-day trial, and a card is required to start it. A solo founder paying $39 a month for a workspace sized for five is paying for seats that sit empty.
Per-seat pricing also suits a team whose size changes in small steps from month to month, as long as the vendor lets you remove seats as easily as add them. And it suits a team where only a few people need full access and everyone else can be a free viewer or guest.
The costs that are not on the seat price
The seat price is rarely the whole bill. Check these before you compare:
- Guests and clients. ClickUp's paid plans include a limited number of external guest seats, and internal people are billed as paid users. Basecamp counts every person you add, clients included, towards the user limit on every plan below Pro Unlimited. Notion guests are free but only see the pages they are invited to. In Atrix, an invitation that has not been accepted holds a seat until it is accepted or expires; suspended members and service accounts do not take one.
- AI. This is where bills grow fastest. ClickUp's older lineup listed Brain AI at $9 per user per month, on top of the seat; its current plans sell pooled AI credits at $10 per 10,000. Asana sells AI requests at $0.50 each in prepaid packs, or $0.60 pay as you go. Notion's custom agents run on credits at $10 per 1,000 a month, and fuller AI access sits on Business at $20 per member. Atrix includes AI runs in the plan, 100 a month on Builder and 500 on Studio, and chatting with the agent does not use a run.
- Other products. A tool that handles tasks well may sell its CRM, docs or chat separately. monday CRM is its own product with its own per-seat price. If you also need a CRM, a docs tool and chat, add their seats to the comparison. Every Atrix plan includes work, pages, messages, calendar, customers and hiring.
- Seat rounding. Asana adds seats one at a time up to 5 users, then in blocks of 5 up to 30. monday.com plans start at 3 seats. A team of six can end up paying for more than six.
How to choose
- Count the people who will sign in this month, and the number you expect in twelve months.
- Price both numbers on each tool, including AI and any other products you would add.
- Find the step: where does the next plan start, and how far past it will you be?
- Decide whether you will pay yearly. On a flat plan, the discount is a fixed amount. Atrix's yearly plans are 20% off, at $374 and $1,430.
If you are two people, take a free per-seat plan. If you are four to six, or close to fifteen, a flat plan usually costs less. In between, do the sum. The Atrix pricing page has every limit side by side, and the comparisons with ClickUp, Basecamp and Asana cover features as well as price.
FAQ
What is flat-price project management software?
Software priced per workspace instead of per person. Some flat plans include unlimited users, such as Basecamp Pro Unlimited and both ProofHub plans. Others bundle a fixed number of seats, such as Atrix Builder with 5 and Studio with 15.
Is flat pricing always cheaper?
No. For one or two people, free per-seat plans cost nothing. Just past a plan's seat limit, a stepped flat plan can cost more than paying per seat: in the table above, Atrix is the most expensive option for a team of ten.
Which project management tools have unlimited users for a flat fee?
As of October 2026, Basecamp Pro Unlimited ($199 a month billed yearly) and both ProofHub plans include unlimited users. Atrix gives unlimited seats to founding teams that subscribe before 31 December 2026.
Does Atrix have a free plan?
No. Every workspace starts with a 7-day trial of Builder. A card is required, and it is charged when the trial ends unless you cancel first.
How much does yearly billing save on Atrix?
20%. Builder is $374 a year, about $31 a month, and Studio is $1,430 a year, about $119 a month.
