The best Notion alternatives for project management are Linear (cycles, triage and the fastest issue tracker, $10 per user), ClickUp (the broadest feature set, $9 per user) and Atrix (a real tracker plus Notion-grade docs, chat, CRM and hiring, $39 flat for 5 seats). Notion stays the right tool for documents; its task databases stop being a tracker the moment you need cycles, triage or planned work from an AI agent.

We kept our docs in Notion for years and ran projects from a Notion board for most of them, so this is written from the inside of the problem. It covers exactly where Notion's databases run out, what the 2026 price changes mean, and what each alternative costs as of October 2026.

Where Notion stops being a project tracker

A Notion database with a board view looks like a project tool and works like one for a while. The limits appear in a predictable order.

  1. No cycles. There is no concept of a sprint with a start, an end, a goal, a burndown and automatic rollover of unfinished work. You can fake it with a date property and a filter; nobody maintains the fake.
  2. No triage. New work lands wherever it was created. There is no inbox where someone decides priority, owner and cycle before an item reaches the board.
  3. Weak relations between work and everything else. Linking a task to a customer, a hire or a goal means building and maintaining relation properties by hand.
  4. No planning agent. Notion Agent (on the Business plan) can write and search; it does not take a brief and produce a planned, sized set of issues on a board.
  5. Drift. Every Notion board we have seen in a company of 10 is six weeks behind reality, because keeping it current is a job nobody has.

None of these are bugs. Notion is a document and database tool, and its project templates are a use of that tool, not a tracker.

Notion's 2026 prices and what AI costs

As of October 2026, Notion's own pricing page lists Plus at $10 per member per month and Business at $20, with Enterprise on request, and says "save up to 20% with yearly" without showing separate yearly figures. Third-party guides published earlier in 2026 quote older figures (Plus $12, Business $18 on yearly billing, or $12 and $24 monthly); where sources conflict, the vendor page's $10 and $20 are the numbers to use, and we would check the page before budgeting.

AI changed in 2026. Notion Agent, AI Meeting Notes and Enterprise Search are bundled into Business rather than sold as an add-on; Free and Plus get a limited trial. Custom Agents are metered at $10 per 1,000 credits. For a 10-person team that wants the agent, Business is $200 a month before credits.

Linear: the tracker Notion is not

Linear is what most engineering teams move to when the Notion board stops being trusted. Cycles, triage, projects and a keyboard-first interface are the whole product. Free covers unlimited members with 250 issues and 2 teams; Basic is $10 per user per month billed yearly and Business $16.

The cost is that you keep Notion. Linear has no docs, so the usual outcome is two tools and a link between them. Since June 2026 Linear's Coding Sessions and Loops bill from a separate AI credit balance on top of seats (model tokens at provider rates plus $0.25 per 20-minute sandbox block from 20 August 2026). Set a spend limit before the team discovers the agent. The "notion vs linear tasks" question has a short answer: Linear for tasks, Notion for the documents around them.

ClickUp: the broadest replacement

ClickUp replaces both halves of Notion for many teams: tasks with sprints (as a ClickApp), docs, whiteboards, goals and dashboards. Core is $9 per user per month on yearly billing (shown against a regular $12), Business $17 (regular $25), with AI credits included per plan and Super Credits at $10 per 10,000. Free Forever has unlimited tasks with 60 MB of storage.

The trade is complexity: ClickUp's hierarchy of spaces, folders, lists and views asks for more configuration than a Notion workspace, and small teams routinely spend their first week on setup. If your frustration with Notion was "too loose", ClickUp may feel "too much".

Atrix: a real tracker with Notion-grade docs attached

Atrix AI is our product, so weigh this as a vendor's view. It is built for teams of 2 to 15 that want the tracker and the documents in one place. The work side has five views, cycles of one to four weeks with a goal, burndown and automatic rollover, a triage inbox, coloured labels, milestones and a backlog; deliberately no story points or velocity. The docs side has a nested page tree, databases, live co-editing with cursors, version history, comments, Markdown export and share links. Around them: team chat, calendar with booking links, a five-stage CRM, hiring with a careers page, people and HR, OKRs and time tracking.

The AI agent is the piece Notion's databases cannot do. A Develop run takes a brief and produces requirements, an architecture note and a planned set of issues that land on the board ready for a cycle. The requirements audit checks coverage against a frozen baseline; it does not scan code. An MCP server with 85 tools lets Claude, ChatGPT, Cursor and Codex read and write the same issues and pages.

Pricing is flat: Builder at $39 a month for 5 seats and 100 AI runs, Studio at $149 for 15 seats and 500 runs, 20% off yearly. No free plan; the 7-day trial requires a card. Limits worth knowing: no Notion importer beyond Markdown, Word and Excel import of pages, a much smaller template and integration ecosystem, nothing above 15 seats outside the founding-team offer, and a product that is years younger than Notion. How to move projects out of Notion

  1. Export the project database as CSV (and the docs as Markdown) from the database menu.
  2. Decide the status set first. Most Notion boards have eight statuses; a tracker wants four or five.
  3. Import the CSV into Linear, ClickUp or Atrix; map Notion's select properties to labels.
  4. Create the first cycle with only the work due in the next two weeks. Leave the rest in the backlog.
  5. Keep Notion for documents during the first month, then move the docs if the new tool has them.

When Notion is still the right choice

  • Your "projects" are mostly documents with a handful of tasks each.
  • The team is not engineering-led and nobody wants cycles.
  • You rely on Notion's template ecosystem, its public pages or its integrations.
  • You are one person. Notion's Free plan is unlimited for a single user, and no tracker on this list beats that.

FAQ

Can Notion be used for project management?

Yes, for light tracking: a database with board, list and timeline views covers a small team's tasks. It lacks cycles with burndown, triage and automatic rollover, so it drifts once the team is busy.

What are Notion's limitations for project management?

No sprints or cycles, no triage inbox, relations that must be built by hand, no planning agent, and no enforcement of process. The board is only as current as the person maintaining it.

Notion vs Linear for tasks: which is better?

Linear for tasks, every time: cycles, triage and speed. Notion for the documents around the tasks. Many teams run both; Atrix is the option that puts both in one workspace.

How much does Notion cost in 2026?

Notion's pricing page shows Plus at $10 per member per month and Business at $20, with Notion Agent included on Business, as of October 2026. Older guides cite $12 and $18; use the vendor page.

Is there a Notion alternative with AI that plans work?

Atrix's Develop run turns a brief into planned issues on the board. Linear's Coding Sessions write code from an issue on metered credits. Notion Agent writes and searches but does not plan a board.
