monday.com has no true per-seat pricing for small teams: plans start at 3 seats and then step up in buckets of 5, so a team of 6 pays for 10 seats. The alternatives without that rounding are Trello and ClickUp (priced per exact user), Notion (per member) and Atrix (flat packs of 5 or 15 seats with the AI included). Below is the maths at 4, 6 and 11 people as of October 2026.
We priced all of these for our own 9-person team this year, and the bucket rounding was the single biggest line in monday's quote. This post explains how it works, which alternatives avoid it, and where monday is still the right answer.
How monday.com seat buckets work
monday's pricing page quotes Basic at $9, Standard at $12 and Pro at $19 per seat per month on yearly billing for Work Management, with monthly billing 18% higher ("the monthly plan is not discounted", in the FAQ's words). The Free plan covers up to 2 seats and 3 boards.
The catch is in the FAQ line "plans start from 3 users" and in monday's own help centre, which describes bucket pricing: plans begin at a 3-seat minimum and then step in increments of 5. Third-party guides list the sequence as 3, 5, 10, 15, 20, 25, 30, 40, 50 and then larger jumps. At checkout you cannot pick fewer seats than you have active users, so a team of 6 lands on the 10-seat bucket.
Here is what that means on Standard ($12 per seat, yearly):
| People on the team | Seats you pay for | Monthly cost | Effective price per person |
|---|---|---|---|
| 2 | 3 | $36 | $18 |
| 4 | 5 | $60 | $15 |
| 6 | 10 | $120 | $20 |
| 11 | 15 | $180 | $16.36 |
| 16 | 20 | $240 | $15 |
A 6-person team pays for 4 empty seats, which pushes the real price from the advertised $12 to $20 per person. That is the "monday.com too expensive" complaint in one row. On top of this, the page sells AI credits at $10 per 1,000; Basic, Standard and Pro show 1,000, 2,000 and 3,000 credits with an offsetting "special monthly discount" that the page does not fully explain, so budget for the credits to be a real cost once the promotion ends.
The alternatives compared at 4, 6 and 11 people
Prices from each vendor's pricing page in October 2026, yearly billing where the vendor quotes it. monday is shown on Standard.
| Tool | Entry paid plan | Seat minimum | 4 people | 6 people | 11 people |
|---|---|---|---|---|---|
| monday.com | Standard, $12 per seat | 3, then buckets of 5 | $60 (5 seats) | $120 (10 seats) | $180 (15 seats) |
| Trello | Standard, $5 per user ($6 monthly) | None | $20 | $30 | $55 |
| ClickUp | Core, $9 per user (regular $12) | None | $36 | $54 | $99 |
| Notion | Plus, $10 per member | None | $40 | $60 | $110 |
| Atrix | Builder, $39 flat (5 seats); Studio, $149 flat (15 seats) | Packs of 5 or 15 | $39 | $149 (Studio) | $149 |
| Smartsheet | Pro, $9 per member (1 to 10) | Business needs 3+, Enterprise 10+ | $36 | $54 | Business, $209 |
Atrix is honest about having its own step: a sixth person means moving from Builder to Studio, which at 6 people is more expensive than ClickUp or Notion. At 11 to 15 people, Studio works out at $9.93 to $13.55 per person with AI, chat, docs, CRM and hiring included. Smartsheet is the anti-example people search for: its Business plan requires at least 3 members and Enterprise at least 10, so a team that outgrows Pro's 10-member cap faces a jump.
Trello: the cheapest board tool with no minimum
Trello is Atlassian's board tool and the simplest thing on this list. The Free plan allows up to 10 collaborators and 10 boards per workspace; Standard is $5 per user per month billed yearly ($6 monthly) and Premium $10 ($12.50 monthly) adds timeline, calendar and dashboard views.
It is a kanban tool, not a work-management platform. There are no native docs beyond card descriptions, no CRM, and automation is capped by plan. For a team that moved to monday for boards and nothing else, Trello at a fifth of the price is a reasonable retreat.
ClickUp: the most direct monday replacement
ClickUp is the closest feature match to monday: boards, lists, Gantt, docs, goals, time tracking and dashboards. Pricing in October 2026 shows Core at $9 per user per month (against a regular price of $12) and Business at $17 (regular $25), with AI credits included (1,000 per user per month on Core, pooled) and AI Super Credits at $10 per 10,000 as an add-on. The Free Forever plan has unlimited tasks but 60 MB of storage and 100 automation actions a month.
The trade-off is complexity. ClickUp's breadth is the point, and the settings surface grows with it; small teams routinely report spending days configuring it. Our comparison is at /compare/monday.
Notion: when documents matter as much as boards
Notion charges per member with no minimum: Plus at $10 per member per month and Business at $20, which includes Notion Agent and AI Meeting Notes. The Free plan is unlimited for one person and limited for workspaces of two or more.
A Notion database can replace a monday board for simple tracking, and the docs are far better than monday's. It stops short at anything resembling a real tracker: no cycles, no burndown, no triage, and automations that are thin next to monday's.
Atrix: flat packs with AI, chat, CRM and hiring included
Atrix AI is our product, so weigh this section as a vendor's view. Pricing is a flat pack rather than a per-seat count: Builder is $39 a month for 5 seats and 100 AI runs; Studio is $149 for 15 seats and 500 runs; yearly billing is 20% off ($374 and $1,430). There is no free plan; the 7-day trial requires a card. Teams subscribing before 31 December 2026 keep unlimited seats.
What the pack includes: work tracking with five views, cycles with goal, burndown and rollover, coloured labels and milestones; docs with live co-editing; team chat; calendar with public booking links and Google or Outlook sync; a five-stage CRM; hiring with a public careers page; people and HR records; OKRs; and time tracking. The AI agent plans issues from a brief and audits requirements against a frozen baseline; it does not scan code. An MCP server with 85 tools connects Claude, ChatGPT, Cursor and Codex.
The limits: packs are their own form of step (5 then 15), there is nothing above 15 seats outside the founding-team offer, no story points, and the integration catalogue is much smaller than monday's or ClickUp's. The glossary entry at /glossary/flat-vs-per-seat-pricing sets out when flat packs win and when they lose.
When monday.com is still the right choice
- Your team is 10, 15 or 20 people exactly, so the buckets cost you nothing.
- You rely on monday's automation recipes, its integration marketplace or its dashboards across many boards.
- You are a client-services firm whose clients already live in monday boards.
- You want monday CRM, monday dev or monday service as a suite from one vendor.
Nothing on this list matches monday's polish for a non-technical team of 20. The problem is specifically small teams paying for empty seats.
How to leave monday.com cleanly
- Export every board to Excel from the board menu; this keeps items, columns and updates.
- Count your active users and pick the alternative where your number does not round up.
- Recreate your three most-used automations first; everything else can wait a cycle.
- Import the Excel files (ClickUp, Notion and Atrix accept Excel or CSV), then spot-check dates and owners.
- Downgrade monday to Free (2 seats) for a month rather than cancelling, in case something was missed.
FAQ
What is monday.com's minimum number of seats?

Is monday.com too expensive for a small team?
At the advertised $12 per seat, no. At the bucket price, often yes: a 6-person team on Standard pays $120 a month for 10 seats, which is $20 per person. Teams of exactly 5, 10 or 15 pay the advertised rate.
