A five-person startup can run projects, docs, chat, scheduling and a CRM for under $200 a month in two ways. Best-of-breed, with Linear, Notion, Slack, Calendly and HubSpot's free CRM, comes to about $186 a month on yearly billing. Consolidated, with Atrix AI Builder plus Slack, comes to about $75. The prices below were checked on each vendor's page in October 2026; the right answer depends on how much each tool's free tier gives you.

We run a small company on these categories of tool, and we have paid for both builds at different times. This post prices each one line by line, says what the free plans actually cap, and gives you the arithmetic to swap in your own choices.

What a five-person startup needs to run

Strip the category names away and a small team needs five things: a place to track work, a place to write things down, a place to talk, a way for outsiders to book time, and a list of the people who might pay you. Everything else (payroll, accounting, email hosting) is a different budget line and is not in this post.

The $200 ceiling is deliberate. It is roughly what a team of five pays for one mid-tier per-seat tool once AI add-ons are included, so it is the point at which "we'll just use the free plans" stops being true.

Build A: best-of-breed, priced October 2026

Each tool is the smallest paid plan that removes the limit a five-person team hits first. Prices are per user per month, billed yearly, from the vendor's own pricing page.

NeedTool and planPrice for 5 peopleWhy not the free plan
Work trackingLinear Basic, $10 per user$50Free is capped at 250 issues and 2 teams; a shipping team passes 250 issues in a few months
DocsNotion Plus, $10 per member$50Free is fine for a while; Plus removes the guest and upload limits most teams hit when clients get involved
ChatSlack Pro, $7.25 per user$36.25Free keeps 90 days of message history; decisions older than that disappear
SchedulingCalendly Standard, $10 per seat$50, or $10 for one seatFree allows one event type and one calendar connection; one paid seat for the founder is the usual compromise
CRMHubSpot free CRM$0Free for up to 2 users and 1,000 contacts; enough until a second salesperson joins

Total with every seat paid: $186.25 a month. With a single Calendly seat for the founder, which is how most five-person teams do it: $146.25 a month. Monthly billing adds roughly 17–25% across these vendors (Slack Pro is $8.75 monthly, Linear and Notion publish yearly rates on their pricing pages).

The AI line is where this build drifts over $200. Notion's Agent needs the Business plan at $20 per member, which doubles the Notion line to $100. Linear's coding sessions and Loops run on prepaid credits with a $10 minimum top-up. Neither is in the total above.

Build B: consolidated, priced October 2026

The consolidated build puts work, docs, calendar with booking links, CRM, hiring and team chat into one workspace and keeps one specialist tool beside it.

NeedTool and planPriceNotes
Work, docs, calendar, booking links, CRM, hiring, chatAtrix AI Builder, $39 flat$39 ($31.17 on yearly billing)5 seats, 100 AI agent runs a month, no free plan, 7-day trial with card
Chat (if the team will not leave Slack)Slack Pro, $7.25 per user$36.25Atrix includes chat with unlimited history, so this line is optional
Email and shared calendarsGoogle WorkspaceNot priced hereCheck the current Business Starter price on Google's page; it is a cost in both builds

Total with Slack: $75.25 a month. Without Slack: $39. On yearly billing Builder is $374, which works out at $31.17 a month.

The limits are real. Builder stops at 5 seats, so the sixth hire means Studio at $149 for 15 seats (or, for teams that subscribe before 31 December 2026, unlimited seats stay on whatever plan they chose). There is no free plan. The AI agent plans products and audits requirements; it does not write code. Atrix's CRM has a 5-stage pipeline and deal values, not HubSpot's marketing automation.

The two builds side by side

The maths is clear at five people and less clear at eight. Build A grows one seat at a time; Build B steps from $39 to $149 at seat six. If you are between six and twelve people, read the flat vs per-seat pricing glossary entry before deciding, because the step matters more than the base price.

How to price your own stack in five steps

  1. List the five needs and the people who touch each one. Not everyone needs a Calendly seat or a Linear seat. Most savings come from paying for fewer seats, not cheaper tools.
  2. Find the limit you will hit first on each free plan. Linear's 250 issues, Slack's 90-day history and Calendly's single event type are the three that catch small teams within a quarter.
  3. Price yearly and monthly. Yearly billing is 17–25% cheaper on these vendors but locks you in while the team is changing shape.
  4. Add the AI line separately. It is the fastest-growing part of every bill in 2026 and the one most often left off the comparison.
  5. Price the team you will be in twelve months. A stack that is cheap at five and expensive at nine is only cheap for a while. The stack cost calculator does this arithmetic for you.

When best-of-breed is the right call

Choose Build A when one category dominates. An engineering-only team that lives in Linear should not give up Linear's keyboard-first issue tracker to save $50. A sales-led startup with sequences and lead scoring needs HubSpot's paid tiers, not a lighter CRM. And if your team already has three years of history in Slack and Notion, the migration cost is real and is not in either table.

Choose Build B when you are tired of copying a customer's name from the CRM into the project tool and then into the doc, or when the tool bill is being paid from a founder's personal card and every seat is argued over. The startups page describes what the consolidated workspace covers and what it does not.

FAQ

What is the cheapest tool stack for a five-person startup in 2026?

Free plans alone cost nothing but cap you quickly: Linear at 250 issues, Slack at 90 days of history, Calendly at one event type, HubSpot at 2 users. The cheapest paid stack we priced in October 2026 is Atrix AI Builder at $39 a month for five seats; the cheapest best-of-breed paid stack is about $146 with one Calendly seat.

How much should a startup budget for software per person?

Build A works out at $29–37 per person per month for five people before AI add-ons. Build B is $8–15 per person. Both roughly double once AI is added to the per-seat tools.

Is Slack's free plan enough for a small team?

For a few months. Messages are searchable for 90 days on the free plan as of October 2026, which means any decision made in chat is gone by the next quarter. Slack Pro is $7.25 per user on yearly billing.

Does Atrix AI have a free plan?

No. Every workspace starts with a 7-day trial of Builder, a card is required, and Builder is $39 a month or $374 a year for 5 seats.

What happens when the team grows past five people?

In Build A, each new person adds about $37 a month across the four paid tools. In Build B, Builder stops at 5 seats; Studio is $149 for 15. Founding teams that subscribe before 31 December 2026 keep unlimited seats on their plan.
